PROPBOOKS ("PROPBOOKS," "we," "us," or "our") provides bookkeeping and portfolio-management software for real estate investors. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. By using PROPBOOKS, you agree to this Policy.

1. Information we collect

Information you provide:

• Account details — your name, email address, and password (or, if you sign in with Google, your Google account email and basic profile).
• Portfolio & financial records — the property, rental, rehab, transaction, contractor, tenant, and note data you enter or import.
• Uploaded documents — files and receipt images you upload to your account.
• Payment information — handled by our third-party payment processor; we do not store your full card number.
• Communications — messages you send us (e.g., support requests) and team invitations.

Information collected automatically: basic usage and device information, and cookies / local browser storage used to keep you signed in and remember preferences (such as light/dark theme).

2. How we use your information

• Provide, maintain, and improve the service;
• Authenticate you and secure your account;
• Process your subscription and payments;
• Power features you request, including AI receipt scanning (see Section 4);
• Send service-related email (confirmations, password resets, team invitations);
• Respond to your requests and provide support;
• Detect, prevent, and address fraud, abuse, and security issues; and
• Comply with legal obligations.

3. Service providers we share data with

We do not sell your personal information. We share data only with vendors that help us run PROPBOOKS, under agreements that limit their use of it:

• Supabase — database, authentication, and file storage;
• Vercel — application and website hosting;
• Stripe — subscription billing and payment processing;
• Anthropic — AI processing for receipt scanning (see Section 4);
• Google — optional "Sign in with Google" authentication;
• Resend — delivery of transactional email.

We may also disclose information if required by law, to enforce our Terms, to protect rights and safety, or in connection with a merger, acquisition, or sale of assets.

4. AI receipt scanning

If you use receipt scanning, the receipt image or document you upload is sent to our AI provider (Anthropic) to extract details such as the vendor, date, amount, and category. These extractions are suggestions for you to review and confirm before saving — they may be inaccurate. We do not use your data to train third-party AI models, and our AI provider processes the content only to return results to you.

5. Data storage & security

Your data is stored with our infrastructure providers and protected with measures including encryption in transit, row-level access controls that scope data to your account, and time-limited signed links for file access. No method of transmission or storage is 100% secure, but we work to protect your information.

6. Data retention

We retain your information for as long as your account is active or as needed to provide the service. You may request deletion of your account and associated data (see Section 7); we may retain limited records as required for legal, tax, or accounting purposes.

7. Your choices and rights

You can access and edit most of your information directly in the app. You may request a copy of your data, corrections, or deletion of your account by contacting us at hello@propbooks.app. Depending on where you live, you may have additional rights under applicable privacy laws.

8. Cookies & local storage

We use cookies and browser local storage to keep you signed in and remember preferences. We do not use third-party advertising cookies.

9. Children

PROPBOOKS is not intended for anyone under 18, and we do not knowingly collect information from children.

10. Changes to this Policy

We may update this Policy from time to time. We will update the "Last updated" date above and, for material changes, provide notice within the app or by email.
